New to Learning Charms?   Please fill out our forms.

1.  Full payment is due upon registration of classes and camps.  Payment for individual occupational therapy and speech therapy services are due at the time the service is received. 

2.  Insurance:  We are in network with United Healthcare and Aetna only.  We are out of network with Blue Cross Blue Shield and all other carriers. In order to utilize insurance benefits with Aetna or UHC, you MUST tell us when you make your initial appointment so that we can have time to verify eligibility for O.T. or speech services. If you have insurance with a carrier other than Aetna or UHC, then you are considered private pay.   You will be required to pay fees at the time that service is rendered.  You may ask for a CMS-1500 form to file with your insurance. If you need CMS-1500 forms, please inform us, and these will be given to you on by the 10th day of the month following the service date.  Insurance does not cover Mommy and Me classes, camps, or materials.

3. Individual and some group Occupational Therapy & Speech Therapy may be covered by health care spending accounts (HSA).  If you need an itemized receipt for submitting, please let us know. Learning Charms cannot guarantee your HSA's approval of expense as each plan is different. For more information, contact your health care spending account administrator or view the IRS guidelines.

5.  Payment we accept:  Mastercard, Visa, Cash,  and personal checks (no 3rd party checks accepted)

1.  Sick or contagious children may not receive services.  If a child becomes ill while at Learning Charms, then the session/class/service will immediately end for safety of the child and other children at Learning Charms. 
2.  Parking is located on the street or to the right side of the building. 
3. Parents may leave the site during their child's service (unless otherwise noted), however, please return to the site at last five minutes before your child's service ends.  All of our therapists and teachers have incoming appointments so there is no childcare available.  Thank you!

We realize that kids and parents become ill from time to time and cannot make appointments. 

1.  If you need to cancel, a minimum of 24 hours is greatly appreciated in order for us to reschedule and/or notify the service provider. 

2.  If cancellation for individual services (e.g. tutoring, individual speech therapy) is made less than 12 hours in advance without booking a make up session you will be charged for the full amount of the service.

3.  Our therapists only get paid when they serve a client.  Learning Charms has the right to discharge child from individual therapy services if multiple cancellations are made. 

4. If cancellation is made for group class, the student may join one other class in future session free of cost. 

5. No shows will be charged for the full amount of service/class/or camp with no refunds available.  In addition, more than one no show for individual therapy may result in discharge from services at Learning Charms.

6. Inclement Weather:  We follow Charlotte Mecklenburg School's closings for inclement weather.  

The following guidelines are intended to give parents some understanding of when their child should not attend services at Learning Charms:

1. A normal temperature for a 24 hour period in the absence of fever reducing medication.
   
2. No vomiting or diarrhea for 24 hours.
3. Isolation periods of common communicable diseases:                     
   

• Chicken Pox--may return provided all lesions are scabbed and dry.
• Strep Infections--a child who is awaiting laboratory results for a strep infection should not attend any services at Learning Charms until a negative culture is confirmed or 24 hours of antibiotic therapy has been instituted.
• Bronchitis  or  Sinusitis--24 hours of antibiotic therapy before returning.
• Conjunctivitis--(Pink Eye) 24 hours after antibiotic treatment has been instituted.
